Set Up Outlook

Set up the Outlook Desktop e-mail client on your computer or use the Outlook Web Client. If you would like to use Outlook Desktop, but it is not installed on your computer, please let your supervisor know.

When asked for your email address to sign in, use your NID@ucf.edu and NID password. Let your supervisor know if you have trouble logging in.

Add Your Schedule

All Techrangers must put their work schedule in Outlook. Full-timers can skip this section.

  1. In the Calendar, post your work schedule for the current semester. You may also post your class schedule there. (Note: Do not create a separate calendar. Put everything in your default Calendar.)
    • Set the work block to “Show as” “Free”. These hours will show up with a white bar on the left side. To set a work block as “Free”, right-click > Show As > Free.
    • Use the “Recurrence” feature to automatically fill out your schedule for the rest of the semester.
    • If you are adding your class time to the calendar, mark them as “out of office” or “away” depending on how you’re accessing your calendar.
  2. Contact your trainer so they can review your calendar.
  3. Give your trainer and everyone in Learning Systems & Technology (from the Associate Department Head of LS&T down) access to your calendar:
    1. In the sidebar on the left under “My Calendars”, right click on “Calendar” and select “Sharing permissions”.
    2. Click the “+” button.
    3. Type in the name or email address of the person you are granting access to and select them from the list that appears.
    4. Click on the Permissions drop-down and select “Can view all details”.
    5. Click “Add” to save the changes.
    6. Return to step 2 and repeat until you have added everyone.
    7. When you are assigned to a cohort, repeat this process to share your calendar with your cohort members.
  4. Let your trainer know that you’ve completed this task.

Email Signature

  1. In the menu bar of the desktop app, click Outlook > Preferences… > Email > Signatures
  2. Create a Standard signature using this format:

        YOUR FULL NAME

        Please note: Florida has a very broad open records law (F.S. 119). Emails may be subject to public disclosure.
      
  3. Assign the signature to your email address using the Choose default signature box at the bottom of this window.
